Terms and Conditions for Training Services
These Terms and Conditions apply to all training services booked with Impimpi Technologies, including classroom-based training, live virtual training, online training and on-site or corporate training.
By submitting a registration, accepting a quotation or invoice, issuing a purchase order, or making payment for a training course, the client and/or delegate accepts these Terms and Conditions.
Course Arrangements
- Course arrangements will normally be sent by email to registered delegates approximately 10 working days prior to the scheduled course date.
- The information provided will depend on the method of delivery and may include:
- venue details, directions and contact information for classroom training;
- virtual classroom access instructions and meeting links for live virtual training;
- course times and schedules;
- trainer or facilitator information;
- requirements relating to course materials, software or equipment; and
- any other information required for participation.
- Delegates are responsible for ensuring that the email address supplied during registration is correct and regularly monitored.
- If course arrangements have not been received, the delegate or client is responsible for contacting Impimpi Technologies before the commencement of the course.
- Impimpi Technologies cannot guarantee successful delivery of electronic communications where delivery is affected by spam filters, incorrect email addresses, mailbox restrictions, corporate security systems or other circumstances outside its reasonable control.
- Failure to check or obtain course arrangements will not, on its own, entitle a delegate to a refund, credit or rescheduling.
Live Virtual Training
- Live virtual training is instructor-led training delivered remotely using an online meeting or virtual classroom platform selected by Impimpi Technologies.
- Delegates attending live virtual training are responsible for ensuring that they have:
- a reliable internet connection;
- a suitable computer or device;
- working audio capabilities;
- any required software installed before the course;
- access to the virtual training platform being used; and
- an environment reasonably suitable for participating in training.
- Where a webcam is required for a particular course, assessment or examination, delegates will be informed accordingly.
- Delegates should test their equipment, internet connection and access to the virtual training platform before the course starts.
- Impimpi Technologies will provide reasonable assistance where a delegate experiences difficulty accessing a virtual training session. However, Impimpi Technologies cannot be held responsible for interruptions or inability to participate caused by the delegate’s internet connection, device, software, network restrictions, electricity supply or other technology outside Impimpi Technologies’ reasonable control.
- A delegate who is unable to attend or continue a virtual training session due to circumstances on their side will be regarded as having attended or missed the relevant portion of the course, subject to the provisions relating to rescheduling and extenuating circumstances contained in these Terms and Conditions.
- If a significant technical failure originating from Impimpi Technologies or its appointed training platform prevents the training from taking place, Impimpi Technologies will make reasonable arrangements to restore the session, reschedule the affected portion of the course or provide another appropriate remedy.
- Virtual classroom links and login details are provided to registered delegates only and may not be shared with another person.
- Unless expressly authorised by Impimpi Technologies, delegates may not record, reproduce, livestream, distribute or otherwise capture a training session, whether by video, audio, screenshots, screen recording, artificial intelligence transcription tools or similar technology.
- Impimpi Technologies may only record a training session where delegates have been appropriately informed and where such recording is permitted in accordance with applicable law and Impimpi Technologies’ privacy practices.
Payments
- All course fees are stated in South African Rand and exclude VAT unless otherwise indicated.
- Payment must be received within 30 days of the invoice date or invoice due date, or no later than 5 working days before the commencement of the course, whichever occurs first, unless alternative payment terms have been agreed to in writing.
- Where a company books training using an approved purchase order or agreed credit arrangement, the payment terms stated on the invoice will apply.
- Interest may be charged on overdue accounts in accordance with the applicable agreement and law.
- Scheduling ad hoc or on-site training requires additional planning. A minimum notice period of approximately four weeks is therefore recommended.
- Failure to meet the applicable payment deadline may result in reserved course seats being released.
- All payments must use the applicable invoice number as the payment reference.
Confirmation of Booking
- Unless credit or purchase order arrangements have been approved by Impimpi Technologies, a course booking remains provisional until payment has been received in full.
- Proof of payment should be sent to training@impimpitech.com.
- Where training is booked by a company on behalf of one or more delegates, the company making the booking remains responsible for payment and compliance with the applicable booking terms.
Cancellations and Refunds
- All requests to cancel a course booking must be submitted to Impimpi Technologies in writing.
- Impimpi Technologies will acknowledge cancellation requests by email. If acknowledgement is not received, the client or delegate should follow up to confirm that the request has been received.
- Subject to applicable consumer protection legislation, the following cancellation terms will ordinarily apply:
- More than 10 working days before the commencement of the course: no cancellation fee.
- 6 to 10 working days before the commencement of the course: a cancellation fee of up to 50% of the total course fee may apply.
- 1 to 5 working days before the commencement of the course: a cancellation fee of up to 100% of the total course fee may apply.
- Any cancellation charge imposed will be subject to applicable law and may take into account the nature of the training, the notice provided, costs already incurred and the reasonable opportunity available to Impimpi Technologies to allocate the reserved seat to another delegate.
- A delegate who does not attend a scheduled course and has not cancelled or rescheduled the booking beforehand will be regarded as a no-show. No refund or credit will ordinarily be granted for a no-show, subject to applicable law and any accepted extenuating circumstances.
- These cancellation provisions apply to classroom, live virtual and other scheduled training unless otherwise stated in a written quotation or agreement.
- Impimpi Technologies will make every reasonable effort to avoid cancelling training. However, courses may occasionally need to be cancelled or postponed because of circumstances including trainer availability, insufficient delegate numbers, technical issues, illness or circumstances outside Impimpi Technologies’ reasonable control.
- Where Impimpi Technologies cancels a course and is unable to offer an acceptable alternative date, any course fee paid for the cancelled training will be refunded.
- Impimpi Technologies will not be responsible for consequential or additional expenses incurred by delegates in connection with attending training, including airfare, accommodation, transport or other travel-related expenses, except where required by applicable law.
Delegate Replacements
- A registered delegate may generally be replaced by another delegate without an additional administration charge where written notification is provided at least 5 working days before the course begins.
- The replacement delegate must meet any applicable prerequisites for the course.
- Delegate replacements may be subject to restrictions where personalised course materials, examination registrations, certification registrations or other third-party services have already been issued in the original delegate’s name.
Rescheduling
- All requests to reschedule training must be submitted in writing.
- Impimpi Technologies will acknowledge rescheduling requests by email. If acknowledgement is not received, the client or delegate should follow up to confirm receipt.
- A booking may only be rescheduled to another scheduled presentation of the same course unless otherwise agreed in writing.
- Rescheduled training must ordinarily be completed within 6 months of the original course date.
- Any training not attended within the applicable 6-month period may be forfeited.
- Rescheduling is subject to the availability of seats on the requested alternative course.
- A rescheduling request received at least 5 working days before the commencement of the course will ordinarily not attract an administration fee.
- A rescheduling request received fewer than 5 working days before commencement may incur an administration fee of up to 10% of the applicable course fee.
- Where a delegate does not provide written notification and fails to attend the scheduled course but subsequently requests that the booking be transferred, an administration charge of up to 25% of the course fee may apply.
- No more than one rescheduling of the same booking will ordinarily be permitted.
- No cash refund will be made where a delegate elects to reschedule a booking rather than cancel it.
Extenuating Circumstances
Where a delegate cannot attend or complete training because of serious illness, hospitalisation, bereavement involving a close family member or another significant extenuating circumstance, Impimpi Technologies may allow the delegate to attend the outstanding portion of the course or a future presentation.
The request must be made in writing and reasonable supporting documentation may be requested.
Where approved, the training must ordinarily be completed within the 6-month rescheduling period.
Applicable statutory rights relating to cancellation because of death, hospitalisation or other circumstances will not be limited by these Terms and Conditions.

All cancellation and administration charges remain subject to applicable consumer protection legislation.
Attendance and Course Completion
- Delegates are expected to attend the full duration of the course.
- This requirement applies equally to classroom and live virtual training.
- Delegates attending virtually are expected to remain actively connected to and participate in the training session.
- Where attendance requirements apply for accreditation, certification, examination eligibility or course completion, failure to attend the required portion of a course may result in the delegate not receiving confirmation of successful course completion.
- Late arrival, early departure or extended absence during a course may be recorded as incomplete attendance where this materially affects participation.
Course Materials and Intellectual Property
- Course notes, presentations, exercises, workbooks, recordings, templates, sample examinations, digital content and other training materials supplied to delegates remain subject to applicable intellectual property rights.
- Course materials are provided for the registered delegate’s personal learning and professional development unless otherwise agreed in writing.
- Course materials may not be copied, reproduced, published, uploaded, sold, distributed or made available to another person or organisation without prior written permission from the relevant rights holder.
- Digital course materials and access credentials may not be shared between delegates.
- Where third-party course materials are supplied, additional licence or usage conditions imposed by the relevant certification body, course owner or publisher may apply.
Exams for International Certification
- Where expressly stated in the quotation, invoice or course description, training fees for courses leading to an international certification such as ISTQB® or IREB® may include the fee for one examination attempt.
- Where an examination is included, the examination must ordinarily be taken within 3 months of completion of the training unless another period is communicated by Impimpi Technologies or the applicable examination provider.
- Failure to complete the examination within the applicable period may result in the included examination entitlement being forfeited.
- Where a delegate fails to attend a confirmed examination session without providing the required notice, the examination fee may be forfeited.
- If a delegate is unsuccessful in an examination, any subsequent examination attempt will be subject to an additional examination fee unless otherwise expressly stated.
- Examination bookings, cancellations, identification requirements, technical requirements, remote proctoring requirements and examination conduct may also be subject to the terms and conditions of the relevant examination body, certification body or examination provider.
- Where examinations are delivered remotely, delegates are responsible for meeting the applicable technical, identification, environment and system requirements communicated for the examination.
- Impimpi Technologies may withhold services or documentation where legally permissible while amounts properly due and payable remain outstanding. Nothing in this provision permits Impimpi Technologies to unlawfully withhold examination results or records controlled by an independent examination or certification body.
Changes to Training Arrangements
- Impimpi Technologies will make reasonable efforts to deliver courses in accordance with the published or agreed training schedule.
- Impimpi Technologies nevertheless reserves the right, where reasonably necessary, to:
- change the scheduled trainer;
- change the training venue;
- change the virtual training platform;
- reschedule the course;
- combine appropriate training groups; or
- change the method of delivery where circumstances reasonably require it.
- Where a material change is made, affected delegates will be notified as soon as reasonably possible.
- Where a course originally booked as classroom training is proposed to be changed to live virtual training, or vice versa, Impimpi Technologies will communicate the change to affected clients and delegates and will reasonably consider any material impact the change may have on the booking.
Training Materials and Courier Costs
- Unless expressly included in the quotation or course fee, courier charges for printed books, course materials or other physical items are not included.
- For virtual training, course materials may be supplied electronically or physically depending on the applicable course.
- Delegates are responsible for providing a correct delivery address where physical training materials must be couriered.
- Impimpi Technologies cannot guarantee delivery where courier delays or incorrect delivery details are outside its reasonable control but will provide reasonable assistance to resolve delivery issues.
Course Content
- Impimpi Technologies continually reviews its training services and course materials to maintain quality and alignment with relevant industry practices, accreditation requirements and certification syllabi.
- Course materials may therefore be updated without prior notice, provided that the fundamental nature and intended learning objectives of the booked course are not materially altered.
Course Prerequisites
- Impimpi Technologies may review the stated prerequisites and experience of delegates during the registration process and may provide guidance regarding suitable courses.
- Unless otherwise required by a certification scheme, the final decision to enrol a delegate remains with the delegate and/or the organisation making the booking.
- Delegates and clients are responsible for ensuring that applicable prerequisites, including certification prerequisites where relevant, have been met.
- Impimpi Technologies will not ordinarily provide a refund solely because a delegate subsequently determines that a course was not appropriate for their experience level where the applicable prerequisites and course information were reasonably available before registration.
Delegate Conduct
- Delegates are expected to behave professionally and respectfully towards trainers, Impimpi Technologies personnel and other delegates.
- This applies equally to classroom and virtual training environments.
- Impimpi Technologies reserves the right to remove a delegate from a training session where the delegate’s conduct is materially disruptive, abusive, discriminatory, threatening, dishonest or otherwise prevents the effective delivery of the course.
- Unauthorised recording, distribution of course materials, sharing of virtual classroom access or other material infringement of intellectual property rights may also result in removal from the course.
- Where a delegate is removed because of serious misconduct, no refund will ordinarily be provided, subject to applicable law.
Opinions Expressed During Training
Training frequently involves discussion, examples and professional opinions.
Unless expressly stated otherwise, personal opinions expressed by individual trainers or delegates during training, seminars, workshops or conferences do not necessarily represent the official views of Impimpi Technologies, the relevant certification body or any other organisation.
Catering and Dietary Requirements
- Catering may be provided for certain classroom or on-site training courses where expressly stated.
- Delegates should disclose dietary requirements when registering or as soon as reasonably possible before the course.
- Certain specialised dietary requirements may result in an additional charge where additional catering costs are incurred. Any material additional charge will be communicated where reasonably possible before it is incurred.
- Catering is not applicable to live virtual training unless specifically agreed.
Privacy and Personal Information
- Impimpi Technologies may process personal information supplied during registration for purposes reasonably connected with administering and delivering training, including communication with delegates, invoicing, course administration, examinations, certification and maintaining training records.
- Where necessary for examinations, certification or accredited training, relevant delegate information may be provided to an applicable examination provider, certification body, accreditation body or authorised service provider.
- Personal information will be handled in accordance with applicable data protection legislation and Impimpi Technologies’ privacy practices.
Force Majeure and Circumstances Outside Reasonable Control
Impimpi Technologies will not be liable for a failure or delay in providing training where this results from circumstances outside its reasonable control, including severe weather, natural disasters, civil disruption, widespread telecommunications or internet failures, load shedding or electricity infrastructure failures, platform outages, government restrictions or similar events.
Where such circumstances materially prevent training from taking place, Impimpi Technologies will make reasonable efforts to reschedule the affected training or provide an appropriate alternative.
General
- Online registration, submission of a registration form, acceptance of a quotation, issue of a purchase order or payment of an invoice constitutes an intention to book the applicable training and acceptance of these Terms and Conditions, subject to applicable law.
- These Terms and Conditions apply together with any written quotation, course-specific conditions and examination-provider requirements communicated in relation to a booking.
- Where a provision of these Terms and Conditions conflicts with a mandatory right provided by applicable legislation, the applicable legislation will prevail.
- If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply.
- These Terms and Conditions are governed by the laws of the Republic of South Africa.
